Supporting event managers with menopause – time to prioritise our well-being

Menopause in events

By Harriette Wight, Senior Event Manager and Breathing Coach at Be In Your Element

As a Senior Event Manager and Breathing Coach at Be In Your Element, a well-being events agency, I’ve spent years navigating the complex and high-pressure world of event management. At Be In Your Element, we create well-being experiences for events, with a deep understanding of both the logistical demands and the human impact of managing large-scale projects.

My background in event management, combined with my passion for well-being, gives me a unique perspective on how we can better support ourselves and others in this, what we all know to be a fast-paced and demanding industry.

In this blog, I want to address a topic that affects many of us but is not always openly discussed – menopause.

While much has been done to improve the delegate experience by incorporating wellness into events, we often neglect our own needs as event managers. In a female-dominated industry like ours, menopause is an issue that must be brought to the forefront.

Whether you’re experiencing it personally or supporting a colleague, menopause impacts everyone, and it’s time to talk about how we can create more supportive work environments.

Why we need to talk about menopause in event management

The meetings and events industry is renowned for its long hours, high stress, and unrelenting schedules. As professionals, we are often more focused on the delegate experience than our own well-being. Yet, for the many women and people who menstruate in our industry, managing menopause alongside these pressures can be overwhelming.

In fact, 85% of people going through menopause experience some form of symptom, and the effects – especially brain fog, anxiety, and poor sleep – can make it difficult to perform at the highest level.

Without the right support, we risk losing some of our most talented professionals.

Raising awareness – understanding the signs

One of the most important steps we can take as an industry is to raise awareness about menopause and its impact on the workplace. We need to normalise the conversation, so that event managers feel comfortable discussing their experiences and asking for the support they need.

The symptoms of menopause that most commonly affect event professionals – such as cognitive changes, anxiety, and sleep disturbances – are particularly challenging in an industry that already operates at full throttle. By understanding these signs, colleagues and employers can create a more supportive work environment, where those affected feel understood and valued.

How employers can provide support

As employers, there are tangible ways to offer support to employees going through menopause.

First and foremost, creating an open culture where people feel safe to speak up about their experiences is critical. Beyond that, there are practical steps that can make a significant difference.

  1. Open conversations. Encourage open discussions about menopause, so employees feel comfortable sharing their needs without fear of stigma.
  2. Flexible staffing. Ensure that events are staffed adequately to allow managers to take breaks, particularly if they’re struggling with brain fog or fatigue.
  3. Quiet spaces. Provide dedicated spaces at events and in the office where employees can take a break to recharge.
  4. Health-conscious options. Offer healthy snacks and ensure there is easy access to water, so staff aren’t relying solely on caffeine and sugar to get through long days.
  5. Peer support. Create a buddy system, where colleagues can check in with each other and ensure everyone is taking the time they need to manage their well-being.

Small measures like these can have a profound effect on the overall well-being of your team.

Human sustainability – practicing what we preach

At Be In Your Element, we talk a lot about “human sustainability” – the idea that it’s not just about creating environmentally sustainable events, but also supporting the humans who are running them.

As event professionals, we often go to great lengths to ensure our delegates have a positive experience, complete with well-being lounges and wellness activities. But we must ask ourselves, are we extending that same level of care to our own teams?

The answer, more often than not, is no!

We need to start practicing what we preach by incorporating wellness into our own routines, not just for our delegates but for ourselves. Simple actions, like stepping outside for fresh air or engaging in a brief mindfulness practice, can make a huge difference during a long event day.

Menopause in a female-led industry

In an industry that is predominantly female, menopause should not be a silent struggle. The impact of menopause on performance is significant, but it’s also an opportunity for us to harness the strength and wisdom that comes with this stage of life.

The conversation around menopause is growing, but we still have work to do. As more people share their experiences, including the challenges of managing symptoms while running events, we can create a culture of understanding and support.

Supporting ourselves and each other

At the end of the day, we need to ask ourselves: what are we giving to our delegates that we also need for ourselves? How can we weave well-being practices into our own event management routines?

By recognising the impact of menopause and offering support, we can ensure that event professionals thrive, both in their careers and their personal lives.

Eco-friendly event planning – sustainable solutions for corporates

Eco-friendly venues

Sustainability is no longer just a trend – it’s a necessity. As companies strive to reduce their environmental impact, corporate events offer a unique opportunity to showcase sustainability efforts.

Here are some sustainable solutions and important considerations for eco-friendly event planning.

Industry standards and accreditations

To ensure credibility in sustainability claims, many event companies seek out industry standards and certifications. Two key accreditations stand out in the events industry:

  • ISO 20121: This international standard focuses on sustainable event management systems. It helps organisations improve sustainability throughout the event life cycle – from sourcing materials and managing waste to reducing emissions.
  • ECOsmart: A certification tailored to the meetings and events industry by Greengage, ECOsmart helps event organisers implement sustainable practices across various areas, such as waste management, carbon reduction, and resource use. ECOsmart-certified venues and companies demonstrate a serious commitment to environmental and social sustainability.

Accreditations like these provide transparency and accountability, ensuring that sustainability initiatives are authentic and not mere “green-washing.” Beyond environmental impacts, however, companies need to expand their focus on the broader concept of ESG (Environmental, Social, and Governance) sustainability.

This holistic approach ensures that social equity, diversity, and governance structures are integrated into event policies for long-term impact.

Key considerations for eco-friendly corporate events

When planning a sustainable corporate event, it’s essential to think beyond just the environment. Here are some considerations for a truly eco-friendly event:

Renewable energy

Leverage renewable energy sources to power your event. This can include solar-powered lighting or energy-efficient technologies. One of the most innovative solutions today is kinetic energy dance floors. These floors convert the movement of attendees into energy, which can power small devices like photo booths or phone charging stations, adding a fun yet functional twist to large-scale events.

Sustainable venue selection

Choosing a venue that prioritises sustainability is crucial. Look for venues that use renewable energy, have robust waste management systems, and are certified by organisations like ECOsmart. These venues often have eco-friendly infrastructure and policies in place, from efficient lighting to water conservation systems.

Waste management

Reduce, reuse, and recycle should be the mantra for any eco-conscious event. Implement waste segregation at the event, and work with vendors who use sustainable materials. Offering digital alternatives, such as electronic tickets and QR codes, can also help reduce paper waste.

Sustainable catering

Source locally-produced, organic food, and consider plant-based menu options. Reducing food miles and offering sustainable choices not only lower your carbon footprint but also support local communities. Ensure that any surplus food is donated to minimise waste.

Eco-friendly transport

Encourage attendees to use public transportation, carpool, or cycle to the event. For international attendees, work with carbon-offsetting programs to balance the environmental impact of flights. Providing shuttles that use electric or hybrid vehicles is another excellent step towards reducing emissions.

Giveaways and materials

Minimise the environmental impact of event materials by choosing eco-friendly swag and recycled products. Avoid plastic and focus on useful, sustainable items such as reusable water bottles, bamboo cutlery, or digital guides instead of printed programmes.

These considerations, combined with a dedication to transparent reporting and adherence to internationally recognised standards, will not only reduce the environmental footprint of corporate events but also build a positive reputation for businesses committed to true sustainability.

Industry checkpoint

Here are a few policies from venues and hotel groups that might help your decision making process:

Hilton

Hilton Hotels has an ESG Policy and report on previous years’ objectives. Highlights of their policy include integration of EDG across the whole company, strategic ESG objectives, and its Travel with Purpose 2030 framework.

Marriott

Marriott Hotel’s ESG Policy has more ambitious goals with six objectives relating to volunteering, carbon intensity and waste reduction to complete by 2025.

Wyboston Lakes Resort

Wyboston Lakes Resort is an environmentally-friendly venue with goals of being carbon neutral by 2040, ‘Room2Grow’ and ‘Zero to Landfill’ initiatives.

Ashorne Hill

Ashorne Hill has recently been accredited for its contributions to sustainable development. Some of the key initiatives implemented include an energy saving laundry system and minimising food waste; a ‘Too Good To Go’ food diversion scheme for staff members.

Silverstone

Silverstone has become the first motor racing venue to join the UNFCCC Sports for Climate Action programme. The venue also signed joined hundreds of other venues across the world in signing the Net Zero Carbon Events pledge.

QHotels Collection

The QHotels Collection’s new sustainability programme focuses on three key areas: People, Places and Planet. To remain transparent and accountable, The QHotels Collection has made several sustainability promises, including establishing a sustainable procurement and purchasing policy.

Yorkshire Event Centre

Yorkshire Events Centre walks the sustainability walk with solar panels, pump house, efficient waste management, and a vast rural landscape where it supports local wildlife.

Building high performing teams in the events industry through apprenticeships

What do you know about apprenticeships?  You probably know it’s paid on-the-job training where employees gain valuable experiences while completing academic training, leading to nationally recognised qualifications.

Did you know that for 2023-24 the total apprenticeship levy came to £3.9 billion but due to underspend because of lack of take up, £5 billion between 2017 -21 went unspent. Last year alone 2022-23, £96 million, or four per cent, of England’s ring-fenced apprenticeships budget went unused.

This blog seeks to address some of the misconceptions about apprenticeships and identifies the huge opportunity and potential for the meetings and events industry to take advantage of its potential to upskill staff and attract new talent into the sector by using the apprenticeship levy.

Dispelling common misconceptions of apprenticeships

In recent years, apprenticeships have become an increasingly valuable route for career development across various industries, including the events sector.

  • In the 2022/23 academic year, there were 752,150 people participating in an apprenticeship in England (source: House of Commons Library) but each year some of the levy is unused.
  • The number of starts fell in 2022/23 by 12,100, or 3%, from the number of starts in the previous academic year.
  • Over 500 Event Assistant apprentices between 2017-2021 (IFATE, 2022)

Despite their growing relevance, many misconceptions persist, limiting apprentices’ potential to revolutionise learning and development. These myths often stem from outdated perceptions of them limited to entry-level, youth-focused training programmes. In reality, apprenticeships today are broad, dynamic, and applicable to professionals of all ages and stages of their careers.

We caught up with Lynn Manir-Jolley, CEO of Potential Realised to unravel the misconceptions of apprenticeships and why businesses should take full advantage of what’s available.

The myth of apprenticeships being just for school leavers

Prevalent misconceptions include them being solely for young people coming out of school or college. This is far from the truth. Apprenticeships are accessible to individuals at any stage in life. There are people on apprenticeships who are in their 20s, 30s, 40s, and even their 50s. There is no age barrier when it comes to furthering education and skills development, yet the belief that apprenticeships are only for the younger generation still lingers.

This partly stems from branding issues or outdated assumptions about apprenticeships. While the term may evoke images of school leavers or early-career trainees, modern apprenticeships cater to professionals across a wide range of industries and experience levels, offering opportunities for both young individuals starting their careers and seasoned professionals looking to upskill or transition into new roles.

One route into the events workforce has traditionally been through UK Higher Education providers of event-related undergraduate and postgraduate degrees. This route has seen a decline in applications and acceptances over the last 5 years (HESA, 2022). There are now approximately 2,000 graduates entering the workforce from event degrees each year.

Apprenticeships are not just for large companies

Another common misconception surrounds apprenticeships being primarily for large corporations with substantial payrolls. In reality, businesses of all sizes can benefit from these programmes.

For small companies, the primary requirement is having a line manager to support the apprentice throughout their training. This is important because training providers meet with both the learner and their line manager every quarter to ensure steady progress. Even if your company doesn’t pay into the apprenticeship levy – typically for organisations with a payroll under £3 million – you can still access apprenticeship training by covering just 5% of the course cost.

For example, if an apprenticeship costs £4,000, a small business will only need to pay £200, making it a cost-effective investment in long-term staff development.

For larger companies with payrolls over £3 million who automatically contribute 0.05% of their wage bill to the apprenticeship levy, the opportunities expand even further. Large organisations often have considerable unused levy funds, which can be redirected to support other areas of their business or even transfer to smaller companies within their supply chain.

This creates a strategic advantage, particularly in industries like events, where partnerships between agencies, hotels, AV companies, and other suppliers are critical to delivering successful events. Levy transfers enable larger businesses to support their smaller partners, ensuring employees receive the necessary training and skills development.

Collaboration and strategic use of the levy

For large businesses, levy underutilisation is a common issue. Even companies that are aware of the levy may not be fully tapping into the potential benefits. Organisations can allocate these funds to upskill staff in key areas, such as leadership, human resources, or industry-specific skills. For example, in other sectors such as construction they use the levy to develop their HR and leadership teams as well as technical experts, maximising the value across multiple departments.

Not well known is that the apprenticeship levy’s unused funds can be transferred to smaller businesses. This opens up significant opportunities for strategic partnerships within sectors like meetings and events, where collaboration is essential. Large agencies, for example, can support smaller partners by transferring their unused levy to fund apprenticeship training. This adds value to the entire supply chain, ensuring all partners are equipped with the skills necessary to succeed.

The lifelong learning mindset

There is still the challenge to address outdated beliefs that learning stops after formal education or at a certain age. Continuous development has become essential for everyone. Education is for everybody, forever. You don’t stop learning. This lifelong learning approach is essential for businesses that want to remain competitive and innovative.

In the events industry, for instance, apprenticeships are not limited to event management alone. They can encompass fields like marketing, finance, research and development, and even gastronomy! The breadth of opportunities available through apprenticeships makes them highly adaptable to a company’s specific needs, while also contributing to individual career growth.

It’s not just about entry-level roles. Apprenticeships can be designed to develop senior leadership, marketing, HR, finance, and many other functions critical to business success. However, the untapped potential of the Apprenticeship Levy suggests that there is still a knowledge gap within many organisations about how best to utilise these funds to develop their teams.

Strategic integration and continuous learning

There is a need for strategic planning when implementing apprenticeships. Successful programmes require a clear vision and partnership between employers, training providers, and learners. If you get that three-way relationship right, then it really does work.

Investing in employee development through apprenticeships can improve staff retention, employee satisfaction, and brand reputation.

It also helps businesses stay agile and competitive in industries requiring continuous learning and adaptation to new trends.

Supporting apprenticeships, especially in collaborative ways, can strengthen companies’ ESG (Environmental, Social, Governance) credentials, showing a commitment to workforce development and sustainability.

Long-term benefits for businesses and learners

Apprenticeships offer a clear advantage for both businesses and learners. For the meetings and events sector, investing in apprenticeships contributes to talent development, succession planning, and overall staff retention. Apprenticeships provide an opportunity for employees to gain practical, hands-on experience, apply their learning directly in the workplace, and advance through levels of certification that can align with their career goals—whether they’re pursuing level 3, level 5, or even level 7 qualifications.

For learners, apprenticeships provide a structured pathway to developing new skills and gaining qualifications without the burden of student debt. Many young people are opting for apprenticeships over traditional university routes, attracted by the opportunity to earn while they learn and gain valuable experience. This trend is growing, particularly as the cost of higher education rises and the desire for practical work experience increases.

How can you access events apprenticeships?

Events Apprenticeships (EA) is a not-for-profit, CIC (Community Interest Company) organisation helping to develop and provide recognised routes into events, to allow people from all backgrounds and ages to gain experience and relevant professional qualifications within the industry. It aims to break down barriers to entry and progression with the aim of attracting a broader pipeline of potential talent.

The Events Apprenticeship Framework (EAF) brings together those apprenticeships that are recognised as supporting the wider event ecosystem. It identifies gaps and aims to fill these, initially highlighting those whose core work is in events:

  • Event Assistant
  • Production Technician and Live Event Rigger.

It will aim to influence and sign-post related apprenticeships, such as:

  • Print Technician
  • Electrician
  • Carpentry & Joinery
  • Security First Line Manager
  • Hospitality Supervisor
  • Hospitality Manager

As within the events industry, they inspire the way apprenticeships are perceived and drive forward innovative and creative work in England to ensure more individuals and businesses can access the benefits of event apprenticeships.

The future of apprenticeships in the events industry

The meetings and events industry is rapidly evolving, and apprenticeships can play a crucial role in keeping pace with changes. As technology, such as AI, continues to influence event planning and execution, businesses need to stay on top of these advancements. Continuous training is essential, and apprenticeships offer a structured way to ensure staff remain agile and responsive to emerging trends.

Moreover, the government’s focus on skills development suggests that apprenticeships will continue to grow. Political changes may bring shifts to the levy system, potentially expanding how businesses can use levy funds. This could open the door to shorter, targeted training programmes or “skills boot camps” to address immediate needs in the workforce.

Final words from Lynn

“Apprenticeships present an excellent opportunity for businesses of all sizes in the meetings and events industry. From upskilling current employees to developing future leaders, the apprenticeship levy and its associated programs provide a pathway to growth and success. By collaborating with partners, making strategic use of levy transfers, and keeping an eye on future trends, companies can ensure they are well-positioned to thrive in this fast-paced and ever-evolving sector.

The key to success is education — both for businesses and learners. Understanding how apprenticeships work, the funding available, and the potential long-term benefits can unlock a world of opportunities for businesses looking to invest in their most important asset: their people.”

How corporate events can give back

Corporate events have long been a powerful tool for networking, team building, education, celebrating achievements, and more. Yet these events can do much more—they can be a force for good in your communities.

By integrating sustainability into event planning, companies can give back to the community and contribute to a healthier planet.

How can event planners ensure their choices align with these values? That’s where EDGE Venues comes into play.

Corporate events in community building

Corporate events are an opportunity to influence and inspire. Whatever the type of event, they bring together people, resources, and ideas. With the right approach, they can also benefit the communities in which you hold them.

For instance, companies can partner with local vendors, donate leftover food to shelters, or support local charities through fundraising activities at the event.

Skift Meetings has curated a fantastic list of ways to give back through events. The list is stacked with inventive solutions for organisations that desire to make a difference. With everything from a Charity Bike Build and Diabetes Cook-off to Paws For A Cause, Foodbank Showdown and more, the list is a must-read for event profs. Check it out here!

Why sustainability matters

The events industry is known for generating significant waste and carbon emissions, from single-use plastics to large-scale energy consumption. By prioritising sustainability, companies can reduce their environmental footprint and set a positive example for others.

When companies choose sustainable practices for their events, they help protect the environment, conserve resources, and promote social responsibility.

How can EDGE support sustainable event planning?

Planning an event with sustainability in mind can seem daunting, but it doesn’t have to be. EDGE Venues makes it easier for event planners to make informed decisions that align with their sustainability goals.

Here’s how:

1. Venue sustainability policies

One of the most significant factors in sustainable event planning is the choice of venue. EDGE Venues provides detailed information about each venue’s sustainability policies, helping planners identify locations prioritising eco-friendly initiatives.

Whether it’s energy-efficient lighting, water conservation measures, or waste reduction programmes, EDGE provides venues with the opportunity to ensure event planners have the information they need to choose a venue that aligns with their values.

2. Accreditations and certifications

In addition to sustainability policies, we also highlight venues that receive relevant sustainability accreditations and certifications.

These recognitions, such as Green Tourism Standard and Greengage ECOsmart, indicate that a venue meets high environmental and social responsibility standards.

3. Venue insights

Venues can easily share their latest sustainability initiatives and community engagement efforts on EDGE Venues. This keeps event planners informed about the newest venue initiatives.

By regularly updating their profiles with news on accreditations, eco-friendly upgrades, or local partnerships, venues can showcase their commitment to sustainability and social responsibility. This helps venues stand out to planners seeking sustainable options, making it easier to choose venues that align with your values and goals for a positive community impact.

Employee wellness demands, IMEX success, Power of Event’s new app, and more

This month’s news round-up brings you some of the industry and association news from May 2024, including delegates demanding employee wellness, IMEX success, industry app pilot, and more.

Employee wellness tops the corporate agenda for offsite meetings

A new survey has revealed that 77% of event planners are prioritising employee wellness facilities in response to delegate wishes.

Research by Hand Picked Hotels polled five hundred event planners and also found that events are now increasingly being planned last minute. Just under half, 43% say they are booking offsites between one and four weeks out from the meeting or event date, with just 2% booking six months in advance.

The top five planners’ priorities are big on employee wellness:

  • Nutritious food and beverage offerings (48%) – in number one position is food and beverage, booking event caterers that not only deliver delicious food, but healthy menus too are key with delegates expressing their wish for it to be healthy.
  • A wellness walk (34%) – walking is one of the easiest ways to improve wellbeing. It is also free and accessible and an effective way of building in a business break for delegates.
  • A wellness experience (25%) – a quarter of respondents cite breathing and relaxation techniques as important to delegates. Many venues can offer on-site massages as well as mindfulness and yoga classes for delegate / employee wellness.
  • Access to spas and health club facilities (24%) – keeping fit with regular exercise is desired by many delegates and for those who travel a lot, maintaining a routine is welcome if they can fit in some exercise while attending an event.
  • Outdoors activity (19%) – being outside is beneficial for mind and body and in fifth place is the desire to do some events outdoors. For planners, this can be challenging because inclement weather may make planning difficult but where a wet weather plan is possible and in the summer months more certainty can be reached, outdoor activities are welcomed.

With more companies leaving remote working behind, the popularity of face to face meetings in 2023 has returned to pre pandemic levels; and with it the focus is now ensuring meetings and events support and aid employee wellness – physical and mental.

The study also unveiled the 2024 market is all about late bookings, with 43% of planners admitting to booking offsites between one and four weeks out from the meeting or event date and only 2% booking six months out, evidence of more spontaneity in the marketplace.

IMEX Frankfurt welcomes 12,000 global suppliers and event professionals

IMEX 2024 saw 12,000 global suppliers and event professionals come together, for 63,000 buyer-exhibitor meetings over three transformative Frankfurt days.

Updates on imex-frankfurt.com news pages share that the past few years have, “challenged us all to reimagine every aspect of what we, as event professionals do. IMEX Frankfurt 2024 reflected this transformative journey, showcasing where events are heading, and how we can, as a global community, work together to shape a brighter future.

“The IMEX events microcosm saw big-name, star-turn, up-and coming and ground-breaking suppliers ignite our show floor; stand-out speakers and standing-room only sessions tap into the hunger for learning; and a whirlwind of business meetings, exchanges and transformative connections bring a dynamic energy to every corner of the halls.”

What’s more, M&IT Magazine has reported that encouraging the next generation of event planners entering the sector was the focus of many conversations at the show. IMEX CEO Carina Bauer told the publication:

“We’ve been really pleased with the number of young people attending our Rising Talent programme for those with up to three years’ experience. It was also great to see the launch of a complementary programme – Young Stars – part of our broadest ever range of German language education and an integral part of the hugely successful MICE Impact Academy.”

As the EVCOM London Live Awards readied to open its entries on May 23rd, it announced a new roster of agency-focused categories.

Entrants are invited to answer three questions on the initiative or strategy, the journey to its creation (how they identified the need for the initiative and shaped it to ensure it met the needs of the team and agency) and the impact (what the effect has been on the individuals in the agency, and the agency as a whole).

Plus,  a new free-to-enter category recognises an agency’s overall culture. The new agency-focused categories include Best People Engagement Initiative, Best DEI Initiative, Best ESG Strategy Initiative, and Best Agency Culture of the Year.

IACC publishes Meeting Room of The Future trends report

IACC has published a report combining research and insights from 275 meeting planners worldwide into the future role of hotels and venues and trends in areas such as physical attributes, food and beverage, technology, and social impact. These evolving trends in conference attendee behaviours and needs will shape the future of conferences, meetings, and events with up to 250 attendees for the next three years and beyond.

The report, the first to seek the opinions of those arranging business events since 2019, supports the widely held view that the creative experiences and relationships built at live events cannot be replicated through technology alone and that Digitally Live Events will remain a feature for successful companies and communities.

Some key insights of the report include:

  • Food and beverage are still evolving. Many venues are reporting lower consumption of alcohol. Additionally, venues are dealing with increasingly complex and specific requests for dietary accommodations.
  • Venues are prioritising sustainability. Many venues have implemented programs to reduce food waste and single-use plastics, producing social responsibility & sustainability statements.
  • Demands and requirements are continuing to change. Breakout rooms are often requested, emphasising informal, comfortable seating that encourages team building and creativity.
  • Venues are starting to adapt to the next generation’s behavioural differences. Some venues are breaking up their events with more time for breaks and personal time and leveraging smaller groups to encourage more one-on-one engagement.
  • Adaptability to changing client needs is becoming a standard. 71% of venues have three-quarters to 100% of their meeting rooms equipped with flexible equipment and furniture that can roll quickly on wheels or be re-configured to turn a room quickly and efficiently.

Birmingham is shortlisted to host Invictus Games 2027

The Invictus Games Foundation has revealed that Washington DC, USA and Birmingham, UK have been shortlisted to host the Invictus Games in 2027. This shortlist has been confirmed after a detailed process which was launched last year. A final decision by the board of trustees will be made by the end of July.

The bid from the city of Washington, led by Events DC, has outlined several potential venues in and around the city, with a focus on the George Washington University campus, alongside an indicative sports schedule which includes the nine core Invictus Games sports, plus the addition of esports.

The UK government-backed bid focuses on the NEC, Birmingham, and draws the connection to the Queen Elizabeth Hospital in Selly Oak and wider Defence Medical assets in the region. Birmingham also seeks to utilise the nine core sports alongside e-sports, as well as exploring the addition of a team triathlon as a potential new sport.

This could lead to a surge in hotel room and venue space bookings in the city, so don’t delay and book your event in Birmingham today to avoid disappointment.

How AI is Transforming Hybrid Events in Event Venues

Artificial Intelligence (AI) has ushered in a new era of possibilities in events.

In this blog, we’ll explore the impacts of AI on hybrid events and discuss the benefits of investing in technology to elevate the hybrid event venue experience.

Personalised Experiences

AI enables event organisers to gather and analyse vast quantities of data to understand attendee preferences. The information can create personalised experiences for both in-person and virtual attendees. From customised event agendas to tailored content recommendations, AI ensures all participants feel engaged and valued.

Smart Venue Management

The use of AI in venue management is a game-changer. Smart sensors and analytics tools can optimise space utilisation, track foot traffic, and predict peak times. So the attendee experience is improved by reducing overcrowding, and even planner can make informed data-driven decisions to improve future events.

Virtual Networking

Hybrid events often present the challenge of connecting virtual and in-person attendees seamlessly.

AI-powered matchmaking algorithms can facilitate meaningful connections by analysing participant profiles, preferences, and networking history. This creates a sense of community, whether attendees are joining from the venue or virtually.

Real-time Event Analytics

Gone are the days of post-event surveys as the primary source of feedback. AI provides real-time analytics that allows event organisers to monitor attendee engagement, track session popularity, and measure overall event success on the fly.

This valuable data empowers event planners to make instant adjustments and improvements, ensuring a dynamic and responsive event.

Content Delivery

AI-driven content curation tools ensure that attendees receive relevant and timely information. These systems can analyse participant interactions, questions, and feedback to dynamically adjust content delivery.

This ensures that both in-person and virtual audiences are engaged throughout the event.

Cost-Efficiency

Investing in AI technology for hybrid events enhances the experience while contributing to cost savings.

Smart logistics management, predictive equipment maintenance, and automated processes streamline operations. These processes reduce the need for manual intervention and minimises the risk of unexpected issues during events.

Adaptability to Future Trends

The events industry is continually evolving, and AI provides a future-proof solution. By investing in technology now, hybrid event venues position themselves to adapt to emerging trends and technologies seamlessly.

This forward-thinking approach ensures that venues remain at the forefront of the industry, attracting clients who value innovation and cutting-edge solutions.

Embracing AI technology is not just about keeping up with the times; it’s about redefining the future of events. The impacts of AI on hybrid events are undeniable, and the benefits of investing in this technology are vast. From personalised experiences to real-time analytics, the advantages extend to event organisers and attendees, creating a more connected, engaging, and memorable event experience.
