There was talk of it taking over traditional business travel in 2022 and beyond. 89% of people plan to add personal vacation time to their business travel this year—many of whom will bring family and friends along.

Rate Check – How much can you expect to pay?

It’s great news that events are starting again, so we thought it would be interesting to look at the rates that are being quoted by venues in different parts of the country.

There is demand, but event bookers are reluctant to confirm the booking until the government guidelines are clear about social distancing and the pilot events have been completed.

As usual rates are higher in months where there is less availability and they are lower outside London.

For example, we’ve looking at a 3-day event for 350 people in February 2021 and comparing various locations around the country. The rates vary, as follows:

However, the rates are higher for 2021. This is for a mid-week one day event for 30 people, where we’ve been quoted daily delegate rates of:

Some venues are sticking to previous rates, some venues are increasing rates to take account of fewer people in the same space. Pricing isn’t consistent at the moment, with some venues requesting supplements or additional room hire costs.

Social distancing is a big problem for venues and both they and the event bookers need to know what they can do in terms of capacity. It’s not just for the meeting rooms, but moving around the venue, catering and restrooms. Venues with outside space definitely have an advantage. After a turbulent year, the venues will need to be confident that they can operate at a profit when they open.

The Meetings Industry Association carried out a survey into social distancing in May 2020 and found that:

  • The majority (82%) of venues confirmed they can operate with social distancing measures in place.
  • Nearly half (46%) of respondents identified that their venue’s capacity would have to be more than halved, with 27% highlighting a reduction of between 41-50% would be required.
  • As a result of these reduced capacities, 59% of venues would not break even.
  • Over 80% expect to lose more than half of their turnover per month.
  • 17.5% of venue operators say it would be ‘impossible’ to open their venue while adhering to social distancing measures, both on commercial and operations grounds.

It will take some time for things to settle down. We will continue to review rates and report on trends as the bookings increase and report.

Edinburgh’s business tourism boosted by Medical conferences

Edinburgh’s position as a world leader in medical research, life sciences innovation and entrepreneurship is being reinforced, with a significant number of health organisations choosing the city as a host destination for events and conferences this autumn.

In 2018-2019, the business tourism team at Marketing Edinburgh, supported on 37 health conferences, bringing 18,321 delegates to the city. This accounts for almost half (44 per cent) of business tourism revenue generated over that period of time.

These figures reinforce Edinburgh’s reputation as a pioneering hub for medical science, also strengthen Edinburgh’s position in the ICCA world rankings; 27th in the world, second only to London in the UK for hosting international conferences.

Some of the conferences scheduled for the remainder of 2019 include the International Conference on Law Enforcement and Public Health (Edinburgh International Conference Centre, October), Compassionate Mind Foundation’s International Conference (Royal College of Physicians, October) and World Extreme Medicine (Dynamic Earth, November).

The international research network One Health Platform views the city as leaders in the field, choosing Edinburgh over other global cities as the host destination for the 6thWorld One Health Congress in June 2020.

Lisa Boden, co-chair for the 6th World One Health Congress, said: “Edinburgh is a leading global hub for medical research and innovation, its universities attracting some of the world’s best talent in the field. We’re very much looking forward to working with the city’s research institutes, the Scottish Government, Marketing Edinburgh and the EICC to share knowledge, collaborate and hopefully further our cause: to ultimately make a different to society and the lives of people globally.”

This significant win, a collaboration across Marketing Edinburgh, VisitScotland Business Events, Scottish Government, University of Edinburgh and the Edinburgh International Conference Centre, will deliver an estimated £3.3 million for the local economy and presents an opportunity for industry experts from across the globe to collaborate and share knowledge.

Amanda Ferguson, head of business tourism at Marketing Edinburgh said: “It’s the aim of the business events campaign, ‘Make It Edinburgh’, to showcase the Scottish capital’s centres of excellence, our life sciences sector being one of these.

“With esteemed and influential events such as World One Health Congress choosing Edinburgh as a host city, there is an opportunity to not only showcase and share our expertise, but to allow the sector to grow and flourish. Greater expertise and entrepreneurship in health and life sciences ultimately attracts more talent and investment, delivering economic growth through innovation.”

Dr Neil Anderson, University of Edinburgh, was a key member of the bid team. He said: “We are thrilled to host the Sixth World One Health Congress in Edinburgh in 2020, welcoming international health scientists and professionals, opinion leaders and policy makers from the One Health community to Scotland’s capital.

“As a global facing university, we have vibrant One Health and global health partnerships nationally and internationally, and we look forward to showcasing the world of Scotland’s world-leading collective of research institutes, and engaging with other stakeholders to improve the health of people, animals and the environment.”

Glasgow economy lifted by almost £1m

The Glasgow Convention Bureau has reported an almost £1 million economic boost to the city’s economy after hosting the 27th International Input-Output Association Conference (IIOA).

The IIOA conference, which was held at the University of Strathclyde’s Technology and Innovation Centre, came to the UK for the first time and attracted a record number of delegates from nearly 50 countries.

The week-long conference focuses on the advancement of knowledge in the field of date compilation and economic statistics and its uses across a wide variety of sectors. This year, in particular, the conference concentrated on sustainability and minimising the environmental impact of a conference on its host destination.

“Conferences can be a major contributor to greenhouse gas applying emissions through things like delegate travel, meals and paper use, and the IIOA is developing and implementing strategies that compensate for some of the ecological footprint caused by our international meetings,” said Sanjiv Mahajan conference chair and vice president of The International Input-Output Association.

“This is our first ever UK conference and we were delighted to come to Glasgow, which has established a strong reputation for its commitment to sustainability and promoting responsible business tourism. We asked delegates if they would like to make a small voluntary donation to support the work of local environmental charities and I’m delighted that we were able to split £1,000 between Energy Action Scotland and the Woodland Trust in Scotland.”

The IIOA conference fits in with Glasgow’s goals of becoming one of Europe’s most sustainable business tourism cities after being listed 7th out of 35 countries in the Global Destination Sustainability Index.

“Our sustainability team has worked hard to identify ways that we can support clients like the IIOA to minimise the environmental impact of their meetings,” said Gordon Hodge, head of conferencing and events at the University of Strathclyde.

“Even simple gestures like encouraging delegates to bring their own water bottles to fill up for free; smart menu choices which include more vegetarian or vegan options; or making the most of our city-centre location and connectivity with public transport, can make a difference. We’re committed to doing our bit to reduce the University’s carbon footprint and to prove that people really can make Glasgow greener, even if they’re only in the city for a few days.”

Italy sees International events on the rise with 8.1 per cent increase in 2018

Italy has seen a jump in the number of international events, which have a significant proportion of overseas participants, increase from 7.9 per cent in 2017 to 8.1 per cent in 2018.

Most conferences and events (59.5 per cent) are local in dimension – with participants (excluding speakers) mainly coming from the same region as the host venue.

Overall, conferences and events held in Italy increased by 5.8 per cent in 2018, with participant figures slightly down (-2.4 per cent).

The decrease in growth figures was due to a fall in conferences promoted by international associations.

As a result, the recommendation was that Italy needs to undertake more promotional activities to combat competition from other destinations.

“Internationalisation, planning and quality are the three elements Italy needs to compete and get out of the impasse we have observed in the associations markets,” said Alessandra Albarelli, president of Federcongressi&eventi.

“Internationalisation means strengthening Convention Bureau Italia’s role in promoting the country as a MICE destination, in partnership with national tourist board ENIT; planning consists of implementing, together with all the institutions, particularly the Ministry of Agricultural, Food and Forestry Policies and Tourism, long-term, targeted strategic activities for the sector.”

The latest results are from the Italian Survey of Conferences and Events, the research project by Italy’s meeting industry association Federcongressi&eventi.

Professor Roberto Nelli, who headed up the survey made some recommendations: “A first attempt at mapping events and conferences hosted in Italy shows that, given the current situation in which most events are hosted in places that can be described as part of Italy’s ‘Great Beauty’, it is possible to identify meeting industry development strategies that leverage the strengths of certain regions: for example, those with vast potential in their cultural and natural heritage that has not been fully exploited.”

Hotels and conference centres were the best performers. Conference hotels play host to most events: 80.6 per cent of the total, +6.9 per cent versus 2017. Conference centres also performed well, accounting for 3.2 per cent of total events (+3.9 per cent) but also registering the highest average number of events per venue: 156.3.

UKCAMS reveals Conference industry now worth £20bn

New research into the UK’s conference and meetings sector, the ‘UK Conference and Meeting Survey 2019’ (UKCAMS), reveals a robust and buoyant industry. There was an estimated £20bn of direct expenditure generated by conference and meeting delegates in venues and in wider destination spend in 2018, up from £18.1bn in 2017. At the same time, the overall number of conferences and meetings held in 2018 was the highest in recent years – an average of 428 conferences and meetings per venue compared with 373 in 2017 and 419 in 2016.

These positive UKCAMS 2019 results show the industry flourishing. The research findings also reveal that the overall number of conferences and meetings in 2018 was an estimated 1.48m compared with the 2017 figure of 1.29m (and 1.45m in 2016). While most events (66%) comprised 50 delegates or fewer, with just 6% of events having more than 200 delegates, the average event size was 72 delegates, the same as for 2017.

Levels of capital investment by venues remained strong with 73% of venues reporting that they had invested in their property in 2018, with 17% investing over £500,000.

The ‘UK Conference and Meeting Survey’, now in its 26th consecutive year, has a specific focus on the value and volume of the market and the performance of meeting venues. It also highlights key market trends identified by venues. The results provide a definitive insight into the conference and meetings sector and are widely used to inform investment, advocacy and marketing activities.

Other key findings from the research include:

  • In 2018, there were an estimated 95.3m delegates accounting for approximately 152.8m delegate days.
  • The average duration of conferences and meetings was 1.6 days (unchanged from previous years), although almost two-thirds of events lasted only one day or less
  • Conference and training centres (640 events) and hotels (453 events) hosted higher than average numbers of events
  • Just over a third (35%) of conferences and meetings in 2018 were organised by a professional conference organiser (PCO) or event management agency

While the majority of UK venues are focused on the domestic meetings market, some 10% of venues are proactive in seeking to attract international conferences, which account for 11% or more of their business. Venues tended to target international conferences through trade shows and familiarisation visits.

Kerrin MacPhie, VisitBritain’s head of business events, commented: “The ‘UK Conference and Meeting Survey 2019’ provides UK destinations and venues with valuable insights into the sector’s scale and latest trends, helping to inform their business planning and marketing activity.

“The UK is home to many world-renowned venues that consistently host leading international events. Their success not only needs to be recorded but also celebrated. VisitBritain recognises the importance of the ICCA ranking as a key tool in achieving this. The UKCAMS research results show us that more can be done by UK venues to record ICCA activity and we strongly encourage them to consistently log their international ICCA events. Doing so recognises and celebrates their world-class credentials, reinforcing the UK’s position as a leading business events destination.”

Sponsored by VisitBritain, the UKCAMS 2019 report is scheduled for publication in June and has a specific focus on the value and volume of the market and the performance of meeting venues. It also highlights key market trends identified by venues.

The 2018 research found that the conference and meetings sector was worth an estimated £18.1 billion to the UK economy, with some 1.29 million meetings taking place in 2017.

The 2019 survey asks UK venues to provide data on their conference and meeting business during the calendar year 2018. It includes questions on the number of events hosted, rates achieved, event duration and size, client type, levels of residential and non-residential business, origins of business, and investment plans. UKCAMS 2019 also includes a section on the targeting and securing of international events by UK venues.

Participating venues will receive a complimentary, personalised summary report enabling them to benchmark their performance against other comparable venues. The research is being carried out by Tony Rogers of Tony Rogers Conference & Event Services and Richard Smith of RJS Associates via an online survey.
