The dos and don’ts of booking last-minute meeting space

Last-minute meetings are often inevitable. Whether it’s an unexpected client pitch or an impromptu team gathering, securing the right meeting space at the last minute can be daunting.

To help you navigate this challenge, here are some crucial dos and don’ts for booking last-minute meeting space.

The Dos

Have a flexible schedule

Flexibility can be your greatest advantage for last-minute meeting space bookings. Openness to different times of day or even alternative dates can increase your chances of finding an available space.

Venues may have gaps in their schedule that they’re willing to fill at a discounted rate.

Make the most of technology

Leverage online tools and platforms to compare spaces quickly. Technology can streamline your search and give you instant access to venue details and pricing.

It can save you valuable time and help you make informed decisions swiftly.

Check out EDGE Venues to see how easy it can be!

Negotiate

Don’t be afraid to negotiate, even if it’s a last-minute booking. Venues may offer discounts to fill an empty meeting or event space, and you could secure a better deal.

Be upfront about your budget and see what they can offer to accommodate your needs.

Our feature on Venue concessions – negotiating what’s best for your event provides some great tips.

Know your requirements from the outset

Understanding exactly what you need—space, amenities, room layout, and location—will make your search more efficient.

Make a checklist of must-haves versus nice-to-haves to ensure the venue meets your requirements.

Check out our feature on Event room layout—choosing the right one—for more on this.

Conduct site visits where feasible

If time permits, visit the venue in person before making your final decision. A site inspection can help you better understand the space, its layout, and the available amenities.

It also gives you the opportunity to address any concerns directly with the venue staff.

For some of our handy tips, check out our Site Inspection Checklist—What to look out for.

The Don’ts

Rush without research

Avoid booking the first available space without proper research, even if time is tight.

Take a few minutes to read reviews, check the venue’s reputation, and ensure it meets your needs. A hasty decision could lead to issues on the day of the meeting.

As an EDGE subscriber, you can take advantage of some site visit insights available on selected properties.

Overlook the fine print

Read the terms and conditions carefully. Last-minute bookings can come with strict cancellation policies or additional fees.

Before confirming your booking, ensure you understand the total cost and any potential penalties.

Forget to confirm final details

Double-check all details with the venue to avoid any surprises.

Confirm the booking, the room’s setup, the availability of equipment, and any other specific requirements you have. Miscommunication can be costly and disruptive.

Assume availability

Never assume your preferred venue will be available, especially on short notice. Always have a backup plan in case your first choice isn’t an

Neglect your budget

It’s easy to overspend when you’re in a rush. Keep a close eye on your budget and try to stick to it. Remember that additional costs can quickly add up, especially with last-minute bookings.

Trinity Event Solutions appoints managing director

Trinity Event Solutions, Stamford-based venue find and event management agency, announces recent promotion of Jenny Harding.

Jenny joined Trinity Event Solutions as sales office manager ten years ago. One year on, she was promoted to operations manager, and subsequently invited to join the agency’s senior management team as operations director.

During Jenny’s tenure at Trinity Event Solutions, she has led the team to achieve Gold Investors in People and – most recently – its three ISO certifications, demonstrating compliance with proven international business practices and appropriate standards. Additionally, Jenny plays an integral role in company CSR, leading many community and charitable initiatives. Last month, Jenny was recognised for “best in class management standards” when she secured a place on the coveted miaList 2019.

Her appointment to managing director comes as former MD and now CEO, Jacqui Kavanagh, continues to focus on the strategic growth of both Trinity Event Solutions and EDGE Venues.

Jacqui Kavanagh, CEO of Trinity Event Solutions said: “With the launch of EDGE Venues last year, I needed a strong management team to help me continue delivering excellence in customer service to our Trinity clients. Jenny is a natural fit and I will continue to mentor and support her as the company continues to thrive. We have a fantastic team and they join me in wishing her huge success in her new role.”

Jenny Harding shares this on her appointment: “I’m delighted to take on the role of managing director for Trinity Event Solutions. My team have a fantastic work ethic and I look forward to leading them to strive for success and achieve great things. I truly believe in what we do and I’m excited for our future.”

Trinity Event Solutions announce venue find contract win with Allianz Insurance

Trinity Event Solutions, based in Stamford, is delighted to announce their new venue find contract win with Allianz Insurance, business and personal insurance provider.

The extensive tender process for the venue finding contract took one month. After successfully making it through the initial RFP process, the team presented to Allianz Insurance and was asked to run a three-month trial to determine how well the Trinity team and systems would integrate. Following a successful trial, Trinity Event Solutions was awarded a three-year contract for delivery of venue finding and technology.

Stephen Flynn, Marketing Manager – events & production at Allianz Insurance explains why Trinity Event Solutions was awarded the contract: “It became apparent during the three-month trial that Trinity Event Solutions would be the right partner to support our future venue finding requirements. Trinity’s technology set them aside throughout the process, we could identify clear spend and transparency for each of our bookings. With this, their flexibility and ability to support our pre-existing agreements with particular venues, gave us the confidence to award them the full contract.”

Jacqui Kavanagh, CEO for Trinity Event Solutions is delighted about the new contract with Allianz Insurance and had this to say about the new partnership: “We believe that our technology capabilities continues to go from strength to strength and with our creativity in our venue options, is what sets us apart from our competitors. We take the time to understand the individual requirements of the client and will adapt our ways of working to ensure we integrate successfully within their business. Our bespoke system allows for direct bookings into the Allianz Insurance preferred venues which supports their contractual agreements with these venues but also identifies where further venue finding requirements are needed. We’re delighted with the new contract and look forward to building a successful partnership with Allianz Insurance.”

A positive response from venues as Trinity Event Solutions officially launches EDGEvenues.com

After months in the planning, Trinity Event Solutions is delighted to announce the official launch of EDGE Venues into the meetings and events space – providing a platform for a global venue sourcing solution to support agents, corporates and associations. This new, innovative and revolutionary digital platform has been created by the industry, for the industry.

Edge Venues Home Page

With a global database of MICE specific hotels and venues, event planners and agencies will be able to use EDGE Venues, free of charge, to source the perfect venue for their next meeting or event.

Since the announcement of EDGE Venues earlier this summer, hotel groups, independents and venues have flocked to the site to update their data to with many achieving 100% of the available data fields to enhance their positioning on searches. Event planners, including agents and corporates can now search for venues within 125 destinations and 45 countries –a database that will continually grow as demand increases. The ‘compare’ feature is a key focal point for the website, allowing users to select a number of chosen properties and compare the features available to determine the most appropriate venue that meets their requirements. This is supported by a managed service to support both planners and venues.

Here’s what Julian Kettleborough, Commercial Director at Studio Venue Company had to say about signing up to EDGE Venues:

“We’re delighted to be launching thestudio on EDGE Venues and excited by the opportunity to promote our four-creative city centre event venues across an exciting new platform, which promises to deliver an excellent experience for venues, agents and their guests. The ability for users to tailor make their venue searches across a wide variety of criteria and for us to promote the personality and flexibility of our locations clinched it for us and we look forward to collaborating with the EDGE team and their users.”

EDGE Venues is a B2B platform packed with articles of inspiration and venue updates, news and offers. It will also provide a community voice where associations will be invited to share their insights into the industry.

Jacqui Kavanagh, Managing Director of Trinity Event Solutions and EDGE Venues had this to say on the launch:

Jacqui Kavanagh

“We’re really excited to be launching EDGE Venues into the marketplace. As event planners ourselves, we understand that every event is different. It’s with that in mind the search functionality for event specific data is very flexible with opportunities to see the benefits and USPs of the venue and how it will work for the event. The reaction from the industry in the lead up to the launch has been really encouraging and we can’t wait to see how we can develop this further to continue meeting the needs of venues, agencies and event planners.”
